Who owns the workflow?
This is the difference everything else hinges on.
Autotask comes with a well-developed way of running an MSP. This is a strength for those who want a ready-made structure to follow, but a limitation when your business doesn't fit the template. Customizations are possible but cost time, and often partner fees.
HaloPSA instead assumes that you will shape the system. Contract types, fields, workflows, portals, and reports are built by your own administrators without the need for consulting hours.
Seven concrete advantages of HaloPSA
1. Everything is included in the agent license. Projects, quotes, asset management, customer portals, and reporting are there from day one. The cost is based on how many people you are, not how much you use the system.
2. You build the system yourselves. A new field or a changed workflow requires no orders and no waiting. Businesses that frequently evolve their processes notice the difference every month.
3. Swedish accounting systems are ready-made integrations. Fortnox, Visma, and Pyramid ERP – not an API to build against, but a connection that is already there.
4. The contract model can look like your business. Fixed price, time and material, prepaid hours, block contracts, and license rebilling in the same structure, including exceptions for individual customers.
5. You retain freedom of choice in your stack. HaloPSA integrates with several RMM platforms. Replacing one layer does not force you to replace them all.
6. Deployment options tailored to your customers' requirements. SaaS, private cloud, or on-premise – relevant when delivering to the public sector or regulated industries.
7. A partner that uses the system themselves. MSP Nordics runs its entire business on HaloPSA. You get answers from someone who did the exact same thing this morning, not from someone who just read the manual.
The advantage that should be calculated
Points 1 and 2 above are usually the deciding factors, and they are also the easiest to overlook when comparing quotes.
License costs are stated in the quote. Consultant hours for ongoing changes are not, and surcharges for modules you aren't using yet only appear once you grow into them. Therefore, calculate costs over five years, including management.
Contract models
Both handle fixed pricing, time and materials, prepaid hour banks, and recurring services.
The difference lies in what happens when your model changes – and most MSPs change their contract types within a couple of years. The question to ask is not whether the system can handle your current contracts, but what it will cost to rebuild them the next time you repackage your offerings.
Nordic requirements
Autotask is built for the North American market, and connections to Swedish accounting systems are usually solved via middleware or custom development. This is not a judgment of quality, but a question of where you want to spend your time at the end of every month.
We are the largest Halo distributor in the Nordics, authorized for all five Nordic countries and designated as a Specialist Partner. Support in Swedish, Norwegian, Danish, and English, in your time zone.
When you should stay put
A clear case: you run your entire business on the Datto and Kaseya suite, with monitoring, backup, and security in the same ecosystem and integrations built between the components. In that case, replacing only the PSA layer is a larger operation than the benefits justify.
What a migration entails
Customers, contacts, agreements, price lists, assets, and ticket history will all be included. We perform a test migration and verification with you before the final cutover, and if necessary, we can run them in parallel for a period to ensure no billing falls through the cracks.
We run our own business in HaloPSA and have made the journey ourselves. Feel free to test it against reality first: a thirty-day free trial environment with a selection of your actual agreements. If you first need to clarify what a PSA should do, the overview is available under PSA.
